Vendor Agreements. A. Subgrantees must secure vendor agreements from energy vendors who receive energy payments on behalf of clients. New vendor agreements must be obtained annually, if terms change or by MDHS requirement. B. W-9 forms from each vendor must be added to the Virtual ROMA system by the Fiscal Officer/appointee. W-9 forms must be dated within the last 12 months. DCS will approve all vendor request before services can be rendered. C. Subgrantees must maintain original vendor agreements indefinitely. D. Vendor agreements are not needed for equipment purchases such as air conditioners, heaters, etc.
