Sub: Apology for defamatory statements made in the complaint dated Date of the police complaint containing the defamatory statements.

Dear Recipient's name,

I, Sender's name, holding the office of Secretary in Name of housing society, situated at Society office address, Sender's city, write this letter to tender my sincere and unconditional apology for the police complaint dated Date of the police complaint containing the defamatory statements, wherein I made false, frivolous and baseless allegations against you. I now realise that the said complaint contained scurrilous, derogatory, disparaging, slanderous and defamatory statements which were inappropriate and unjustified.

It has come to my understanding that you, along with other members of the society, attended the society meeting held on Date of the society meeting referred to in the complaint as a mere spectator, simply by virtue of being a resident of the society. I fully recognise that you had no active involvement in the matters discussed during the said meeting and, therefore, ought not to have been subjected to such defamatory accusations.

I deeply regret my actions and the harm caused to your reputation and standing within the society. The statements made in my complaint were incorrect and without any basis, and I take full responsibility for the distress and inconvenience caused to you. I acknowledge the damage that my words may have caused, both personally and professionally.

Through this letter, I formally retract all defamatory remarks made by me in my complaint dated Date of the police complaint containing the defamatory statements or otherwise, whether in writing or verbal, and I sincerely apologise for the harm, embarrassment and stress that you may have endured as a result thereof. I assure you that I shall not make any further defamatory statements about you in the future and shall act responsibly in all our future dealings.

I hope you will accept this apology, and I genuinely seek your forgiveness for my unfortunate actions. I am committed to making amends for this regrettable incident and to ensuring that no such situation arises again.

Thank you for your understanding.

Yours sincerely,
